COUNSELING SESSION BOOKING POLICY AND CLIENT DATA POLICY

• Only clients over the age of 18 can book a session for themselves.
• The client needs to first identify the issue he wants to discuss.
• Clients can choose a session time according to the availability of the counselor and the availability of dates in the booking calendar.
• Clients cannot change Counselors after booking.
• Any change of date will result in the client being placed on a waiting list until a new date becomes available. Please refer to the Refund Policy
• The client cannot replace another person to attend the session that has been registered. We reserves the right to cancel the session and no refund will be made
• Each session booking must be completed within 60 days of the booking date. We reserves the right to cancel sessions that are not completed after that period.
• For clients aged 18 and under, session booking must be done by a parent/legal guardian.
• For clients aged 18 and under, the type of session that needs to be taken is Family/Group Counseling only.

** For clients under the age of 18, permission must be obtained from a parent/guardian. The client must fill out a consent form to get a counseling session before the session is implemented.

• Once the booking is made, the client will receive a WhatsApp or Email from the Admin within 24 hours.
• It is the client's responsibility to remember the date and time of the booked session (enter it in your Calendar).
• Admin will give a reminder notification to the client on the day the session is implemented.
• The counselor will contact the client at least 1 hour before the session as a reminder and preparation
• The counselor will wait for the client's presence for a maximum of 30 minutes. The counselor will remind you to attend the session again.
• There is no increase in session time for clients who arrive late.
• The session will be canceled immediately if the client does not show up after 30 minutes of waiting time. No refund of fees will be made (non-refundable)

• To ensure that Aman Arena Counselling is ready to help as many clients as possible, non-attendance for a scheduled session without any notification will be considered as cancellation of the session and result in 100% of the session fee being charged.

• We understand plans can change. If you need to reschedule the session once it has been confirmed, please let us know at least 24 hours in advance by contacting us via WhatsApp at +60 or our email
• Rescheduling for the first time is free. Scheduling a second time will result in you having to pay 50% of the session fee.
• This policy is to ensure that all clients receive the attention and care they deserve. At least 24 hours notice before allowing the Counselor to assist another client on the waiting list.
• With the same understanding, Aman Arena Counselling reserves the right to modify or cancel any session at least 24 hours in advance in the event of regrettable and unforeseen circumstances. You will be notified of any changes via WhatsApp. If the counselor does not give notice of cancellation or scheduling, you will get one additional session for free. We will contact you for new scheduling.

• Please note that Aman Arena Counselling practices a non-refundable policy for every session booking.
• Cancellation or non-attendance to a counseling session without notification will result in 100% payment of the session fee. Therefore no refunds are made.
• Likewise, if the counselor reschedules or cancels a session with less than 24 hours' notice, then a free session will be provided. The fee you pay can be used in the next session.

• By booking a counseling session with us, this means that the client agrees to share the client's personal data with us.
• The client's personal data is confidential, secure and protected under the COUNSELOR ACT 1998 (ACT 580)
• The client needs to fill out an informed consent form and also a personal information form before the session is carried out.
• Clients 18 years old and below must obtain permission from their parents/guardians and fill out a permission form to do a session
